Get Set Up for a Video Conference Hearing

If your hearing is by video conference, get your computer or mobile device ready a few days before the day of the hearing. You’ll need:

The notice of hearing letter will be emailed to you and will include a link to join the hearing. Check your inbox and spam folder for the invitation. Don’t share the link with anyone other than your witnesses. Test the link before the day of the hearing to make sure the video conference app, called Microsoft Teams, works on your device. If you do not receive an email invitation or if you have trouble setting up your device, contact the Workers’ Compensation Appeal Tribunal .

Set Up a Smart Phone or Tablet

Step 1. Open the meeting invite emailed to you. Tap the “Join Microsoft Teams Meeting” link.

Step 2. If you do not have Microsoft Teams installed, the web browser will say it cannot open the web page – that’s good. Click or tap OK. You’ll get the option to Download from the App Store or Download from Google Play.

Step 3. Tap the download icon. Once it’s finished downloading, open the Microsoft Teams App. Tap “Join as Guest.” You’ll get a prompt to enter your full name. When you open the app for the first time, it may ask to allow Microsoft Teams to use your microphone and camera – tap Accept.

Set Up a Computer or Laptop

Step 1. Make sure you have the right browser: Internet Explorer 11, Microsoft Edge, Chrome, Firefox, or Safari 11.

Step 2. Click or tap on the meeting link. A webpage will pop up and give you the option to “Download the Windows/Mac App” (follow the instructions to download Microsoft Teams onto your computer ) OR “Join on the web instead.” You’ll get a prompt to enter your full name. If you already have the Microsoft Teams app downloaded, you can select “Launch it now.”

Test Microphone & Camera Settings

Select your profile picture in the top right-hand corner, then Settings > Devices. Make sure the speaker, microphone and camera listed in the settings are correct.

Check your camera preview. Make sure you’re visible and that you can sit comfortably and face the screen for the entire hearing. Remove anything in view that you don’t want others to see.

Test your microphone. Under “Audio devices,” select “Make a test call.” You will receive call from Teams Echo. Follow the spoken instructions and record yourself speaking. Listen to the playback. If there are issues with the test, go to Settings > Devices and confirm everything is set-up correctly.
